SDA Flow
Terms of Service
Effective October 30, 2026
These terms govern SDA Flow: this site, sdaflow.com (the “Site”), and the workspaces it provides to churches and other organizations (the “Service”). SDA Flow is a service of Tompkins R&D (tompkinsrnd.com)(“we”, “us”).
If you use the Site, these terms apply to you. If you accept a workspace on behalf of a church, conference or other organization (the “church”), they apply to the church, and you confirm that you may agree to them for it. The people a church lets sign in to its workspace use it under the church’s own terms and privacy statement, on the church’s own site.
1. Who we are
SDA Flow provides software to Seventh-day Adventist congregations. It is not owned, operated or managed by, and is not affiliated in any official capacity with, the Seventh-day Adventist Church, its General Conference, the North American Division, or adventist.org.
2. The Site
The Site describes the Service and lets a church ask for a workspace. Asking does not create an account or an obligation on either side. Workspaces are set up by us; there is no self-service sign-up.
3. A church’s workspace
- A workspace is the church’s own instance of the Service: its own site, at an address under sdaflow.com or at a domain of its own, and its own records, kept apart from every other church’s.
- Which features it has depends on the plan agreed with the church. The church’s administrators may switch features off for their church, and we may add, change or retire features over time. We will not take away a feature a church relies on without telling its administrators first.
- Any fees, and what they cover, are as agreed with the church in writing. A church owes nothing it has not agreed to.
4. The church’s responsibilities
The church:
- chooses its administrators, decides who may sign in to its workspace and what each person may do, and is responsible for what they do there;
- keeps the records in its workspace — about its members, visitors, children and others — and is responsible for having the right to keep and use them, including a parent’s or guardian’s permission where the law or its own practice requires it;
- publishes its own terms and privacy statement for its people (its workspace provides them), and answers its people’s requests about their information;
- keeps sign-in links, passwords and keys to itself, and tells us promptly at info@sdaflow.com if it believes its workspace has been misused.
5. Acceptable use
Neither the church nor anyone using the Site or a workspace may:
- use it for anything unlawful, or to harass, threaten or deceive anyone;
- send mail to people who have not agreed to hear from the church, or keep sending to people who asked to stop;
- upload material they have no right to use, or anything designed to harm a computer or the people who use it;
- try to reach another church’s records, or anything beyond the access they were given, or to disrupt, probe or overload the Service.
6. The church’s content
What the church and its people put into a workspace — its records, words, pictures and files — remains theirs. The church gives us permission to store, process, copy and send it only as needed to provide the Service to the church: to show it to the people the church allows, to print and publish what the church publishes, and to pass it to the service providers the church’s features use. We do not use it for anything else. We do not sell it, use it for advertising, or use it to train AI models.
7. Services from others, and machine-made words
Some features rely on other companies: AI writing help, live captions and their translation, voices that read translations aloud, Bible text, address lookup, artwork, and YouTube. By default a workspace uses our accounts with them. Where a church uses an account of its own, it is bound by that company’s terms; where a Bible translation is licensed, it is shown only as its licence allows.
Captions, translations, voices and AI suggestions are made by machines. They can be wrong, sometimes in ways that matter. Review anything before it is printed or sent, and do not rely on live captions or translation where an error could cause harm; they are not a substitute for a qualified interpreter.
8. Our software
The Service and its software are ours. A church may use them for its own ministry while it has a workspace, and may not copy, resell or reverse-engineer them. If a church sends us ideas or suggestions, we may use them without obligation.
9. Availability and support
We work to keep the Service running and secure, but we do not promise it will always be available or free of errors. Updates restart it briefly, and we try not to do so while a church is live. Support is by email at info@sdaflow.com.
10. Privacy
How we handle the Site’s information, and the information in a church’s workspace on the church’s behalf, is described in the Privacy Statement.
11. Suspending and ending a workspace
- A church may stop using the Service at any time by telling us.
- We may suspend a workspace, or part of it, to stop a breach of these terms, a risk to its people or to other churches, or as the law requires — telling its administrators why, beforehand where we can. We may end the Service to a church with reasonable notice.
- For 30 days after a workspace ends, the church may ask us for a copy of its records. After that we delete its records and files, except anything the law requires us to keep; copies in backups are removed as those backups expire.
12. Disclaimer and limitation of liability
The Site and the Service are provided “as is” and “as available”. To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement. We are not liable for any indirect, incidental, special or consequential damages, or for lost data, arising from their use; and our total liability to a church is limited to what it paid us for the Service in the twelve months before the claim.
13. Changes
We may update these terms. The effective date above shows when they last changed, and we will tell each church’s administrators of a change that matters before it takes effect. Continuing to use the Service after that means accepting the updated terms.
